Job role
The People & Sustainability Administrator will be a part of our People department.
You will act as the first point of contact for HR & sustainability related queries from employees and external partners. Your main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides) and updating internal databases.
Experience with HR procedures and being able to juggle various administrative tasks in a timely and accurate manner is key to this role. Ultimately, you will focus on ensuring that our People are supported in the best way possible.
The People Administrator Role
Organise and maintain personnel records
Prepare HR documents, like employment contracts and new hire induction documents
Manage CV’s and interviews to support the Group People Director
Answer employees queries about HR-related issues and escalate to the Group People Director where necessary
Manage the birthday and work anniversary initiative (e.g. keeping the data up to date, ordering the gifts, communication across the business)
Prepare HR letters (e.g. change to salary, change to hours, maternity, paternity)
Ensure all documents are saved in relevant employee and payroll folders
Managing training booking across the business
Update internal databases (e.g. record sickness, maternity leave)
Liaise with recruiters regarding vacancies
Create reports and presentations on HR metrics (e.g. turnover rates, absence)
Manage and own the employee of the month initiative
Manage the leavers process (e.g. leavers letter, closure of accounts, equipment return)
Book and minute meetings where required (e.g. focus groups)
Participate & support in People projects and initiatives (e.g. MHFA, training workshops, wellbeing initiatives, fun days, social events)
Payroll Administration (approx. 1/1.5 days a month)
Manage and review the timesheets for zero hours contract employees
Keep payroll spreadsheet up-to-date with accurate information
Answer employee queries about their pay and escalate issues to the Finance Manager where necessary
Prepare and process monthly payroll by liaising with an external payroll bureau
Communicate any payroll updates or changes to the Finance Manager
Sustainability Administration (approx. 1 day a month)
Working with Q&E (external consultants) to obtain the PAS2060 certification (e.g. support with annual reports)
Giving your advice and guidance (with support from Q&E) on what the business needs to do to ensure we are being sustainable and communicating this information to the business.
The successful candidate
Proven work experience as a HR Administrator, HR Administrative Assistant, or relevant role
Passion for culture change management
Well-presented and professional with the ability to interact with various internal/external contacts
Ability to multitask and work successfully in a fast-paced environment
Confident individual who is hungry to play a role in creating a thriving, positive working environment
Computer literacy (MS Office applications, in particular)
Excellent written and verbal communication skills
Strong attention to detail and problem-solving skills
